Privacy Notice

SureSafe Manpower Services ("we", "the Company") respects your privacy. This notice explains how the SureSafe Payroll system and mobile app collect and use your personal information, in line with the Data Privacy Act of 2012 (Republic Act No. 10173) and the rules of the National Privacy Commission (NPC).

1. Information we collect

• Account and employment details — name, employee ID, position, deployment, contact details, government IDs (SSS, PhilHealth, Pag-IBIG, TIN) and payout accounts, as kept by HR.
• Attendance and payroll records — time in / time out, schedules, overtime, leave, pay and deductions.
• Time Clock photo (selfie) — taken with your phone's front camera only when you tap Time In or Time Out in the app.
• Location (GPS) — your phone's location only at the moment of Time In / Time Out, to confirm you are at your assigned post. The app does not track your location at any other time and does not run in the background.
• Technical data — device/app information and IP address when you use the system, for security and troubleshooting.

2. Why we use it

• To record and verify your attendance (the photo and location prove the time in / time out was made by you at your post).
• To compute and release your salary, benefits and government contributions.
• To comply with labor, tax and other legal requirements, and to protect the security of the system.

We process this information because it is necessary for your employment and for our legal obligations, and — for the Time Clock photo and location — with your consent.

3. Who can see it

Only authorized personnel who need it for their work: HR, your Operations Manager / Time Keeper, Accounting and system administrators. We may share information with government agencies when the law requires it (e.g. SSS, PhilHealth, Pag-IBIG, BIR) and with our bank / e-wallet partners to pay your salary. We do not sell your personal information.

4. How long we keep it

• Time Clock photos are deleted permanently after 30 days.
• Attendance (time, location) and payroll records are kept as long as required by law for employment and payroll records, then disposed of securely.

5. How we protect it

Data is sent over encrypted connections (HTTPS), photos are stored privately (not publicly accessible), and access is limited by user role and logged.

6. Your rights

Under the Data Privacy Act you have the right to be informed, to access your data, to correct it, to object, to ask for erasure or blocking when allowed by law, to data portability, and to file a complaint with the National Privacy Commission (privacy.gov.ph). You may withdraw your consent to the Time Clock photo and location at any time by contacting us; your attendance will then be recorded by your Time Keeper instead.
